Job Title: Part-Time Assistant Production Services Coordinator

Department: Technical Services

Summary

This position will assist with various audio and video production activities related to the operations of the scoreboard, audio, and video systems, and other duties as assigned.

 

Essential Duties and Responsibilities

Assist in all production activities required to present the audio and video components of an event at Ralston Arena, to include:

  • Verify that video, audio is on-air during events.
  • Set audio levels and record program on Tricaster Hard Drive.
  • Familiar with Camera setup and operation.
  • Verify settings of video and operation of scoreboard/control room components.
  • Cue video and audio operators.
  • Program, create graphics, control Buttons on Daktronics Show Control, and operate.
  • Understand Flow and setup for Daktronics scoring systems, and associated equipment.
  • Maintain operation of Bright Sign systems, and in-house Local Origination TV Channels.
  • Understanding of operation and programming of in-house LED lighting systems.              
  • Understanding of operation of New-Tek 3 play systems.
  • Make minor repairs to equipment.
  • Assist in the development, implementations, and oversight of the activities of the Event Production staff.
  • Assist in controlling the inventory of all fixed and consumable assets associated with the Video/audio, and system equipment.  Procure material and/or related information as required.
  • Assist in the planning and execution of any Special Events.
  • Performs miscellaneous job duties as assigned.

 

Education and/or Experience   

Bachelor degree or equivalent experience required.  Minimum two years experience with similar equipment. 

 

Skills and Abilities

Literate in video/audio computer programming.  Must possess a high level of interpersonal skills to work effectively with others in a professional and courteous manner.  Contribute to the team efforts of the department.  Ability to work under pressure, recognizes problems, and finds solutions.  Ability to work in a fast paced environment and manage multiple tasks.

Box Office - Box Office Manager

Summary

Oversees ticket sales and all aspects of box office operation by performing the following duties personally or through subordinates:

 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Directs and oversees the internal control of daily operations within the Box Office.
  • Coordinates all event information between the promoter, facility personnel and the ticket company in a timely manner.
  • Works with event promoter and appropriate personnel to establish ticket pricing and seating configuration.
  • Builds and modifies all computer ticket events and issues computer access codes to facility management.
  • Coordinates the house scale for all ticket events.
  • Maintains communication with ticket company representatives for updates and/or revisions in computer operations.
  • Monitors daily ticket sales for all upcoming events and communicates information to the Director and promoter representative.
  • Prepares cash bank and daily accurate inventory of all tickets distributed and available for sale.
  • Prepares and presents the final box office statement for settlement of each event.
  • Responds to customer complaints and service requests to maintain a positive rapport with the ticket buying public.
  • Establishes files on each event that consist of seats on-hold for the building and promoter, complimentary ticket vouchers, event audits and ticket inventory schedules.
  • Supervises, instructs, and trains ticket sellers as to the proper selling procedures.
  • Assists or sells tickets as needed.
  • Opens and or closes ticket window as required.
  • Accurately dispenses tickets as requested by patrons; accepts payment and makes change accurately.
  • Maintains accurate count when selling hard tickets or accesses computer for count of computer printed tickets.

  • Fills reservations for seats by telephone or mail, handles Will-Call window according to procedures, or other related duties as assigned by supervisor.
  • Demonstrates excellent customer service skills, responds promptly to customer needs, responds to requests for service and assistance, able to work independently and handle most box office questions without assistance. 
  • Efficiently and courteously answers questions concerning prices, seating and events. Gives information concerning coming attractions.
  • Maintains accurate count of tickets sold, money received from ticket sellers and change banks
  • Prepares and submits a daily report of business transactions.
  • Makes bank deposits.

 

Supervisory Responsibilities:

Manages the Ticket Sellers or other Box Office staff. Is responsible for the overall direction, coordination, and evaluation of these units. Carries out supervisory responsibilities in accordance with City of Ralston policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.

Box Office - Ticket Seller

This is a casual part-time position in the Box Office.  Hours are dependent on events and are primarily available during the evenings and weekends.  The responsibilities include information distribution, computerized ticket sales, telephone answering, and the balancing of all moneys received from ticket sales at the end of each shift.

Essential Duties and Responsibilities

  • Opens and or closes ticket window as required.
  • Accurately dispenses tickets as requested by patrons; accepts payment and makes change accurately.
  • Maintains accurate count when selling hard tickets or accesses computer for count of computer printed tickets.
  • Completes daily ticket sales report.  Keeps accurate daily balance sheet of cash received and tickets sold; balances sales and change bank and submits cash to Box Office supervisor or manager for audit.

Director of Sales and Public Relations

Summary

This position oversees the planning and implementation of a complete sponsorship campaign for the facility and all events including group sales, advertising, direct mail, promotion, and publicity. The position establishes plans and strategies to expand the sponsorship base for the arena.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Develops a sponsorship business plan and sales strategy for the market that ensures attainment of company sales goals and profitability.
  • Prepares action plans for effective search and sponsorship sales leads and prospects.
  • Initiates and coordinates development of action plans to penetrate new sponsorship markets.
  • Provides timely, accurate, competitive pricing on all completed sponsorship prospects submitted for pricing and approval, while striving to maintain profit guidelines.
  • Remains current on national trends in the industry and local market changes to best serve the facility.
  • Works in accordance with the Marketing Manager to implement Arena marketing plans for events when required, to include all available services: group sales, public relations, media placement, direct mail, promotional development, non-profit opportunities, etc.
  • Oversees suite and club seat sales, which includes handling premium suite renewal process, managing event-by-event ticket distribution along with working with the food and beverage department to ensure high quality service for premium seat owners. Will also negotiate event-by-event suite rentals.
  • Directs the public relations image for the facility. Establishes and maintains relationships with media, industry influencers and key community and strategic partners. Acts as facility spokesperson and liaison with general public.
  • Aggressively seeks new contacts and maintains working relationships with all media representatives, civic and industry organizations, corporate promotional contacts, and event and booking representatives.
  • Operates the department with a conscious commitment to maximum exposure for the facility and its events, through the most effective and efficient means possible.

Supervisory Responsibilities

Directly supervises all Sponsorship sales and Suite staff. Carries out supervisory responsibilities in accordance with the Ralston Sports and Event Center policies and applicable laws.

This position requires an individual to have excellent customer service skills, a positive attitude, and food preparation skills. This individual is responsible for making sure the concession stands are opened for the events and are well stocked with all necessary supplies needed for the event.  This position is assigned a certain area during the event to make sure supplies do not run out and things run properly during an event.  He/she is responsible for completing transfer sheets for all inventories they delivered. He/she will assist in preparing the location and area for day to day operations, as well as location inventory controls. This individual will also make sure the stands in the assigned area are left clean and all uniforms, towels etc. are brought to the check-out point.

This position requires an individual to have customer service skills, positive attitude, also food preparation skills.  You will be responsible for either setting up your suite and taking care of your clients food and beverage needs for the event.  Servers will be responsible for taking orders from guests in the Club area.  Servers will also help when we have catered parties.

Scope and Nature of Role
Responsible for the safe operation and normal maintenance of the ice arena. Oversees the quality and consistency of the facility’s ice rinks and ice resurfacers.

Essential Responsibilities

  • Responsible for maintenance of the ice surface including use of ice chipper, edger and correct ice resurfacing techniques.
  • Responsible for maintenance and basic repairs on all ice resurfacers, including blade changes, oil changes, greasing and other routine maintenance.
  • Responsible for regular inspection of all rink systems including boards, glass, doors and boxes, and development of ongoing maintenance and repair plans.
  • Responsible for initial and ongoing training of all ice techs in proper ice resurfacer operation and maintenance.
  • Perform weekly maintenance by following inspection checklist in ice resurfacer log book.
  • Perform and coordinate the implementation of detailed daily circle checks by all ice techs.
  • Create effective plan of communication and coordination between all ice techs to ensure consistent implementation of ice surface and ice resurfacer plans.
  • Meet at least weekly with the Operations Manager to receive direction and confirm that implementation plans are meeting or exceeding expectations.
  • Assume responsibilities of building Supervisor while on duty to assist staff with the highest level building/event operations.
  • Provide excellent customer service at all times, and ensure that all policies are properly implemented.
  • Know emergency procedures for equipment and evacuation plan.
  • Ensure the overall cleanliness of Ralston Arena Ice.
  • Perform additional duties as required.

Qualifications

  • 2-4 Years of ice resurfacer operation, maintenance and basic repair, or equivalent experience.
  • Experience with rink systems maintenance and repair preferred.
  • Must be able to contribute to a strong team work environment.
  • Must be able to successfully perform the essential functions of this job that are physically demanding.
  • Must be able to lift up to 50 pounds.
  • Must be able to work in a cold environment.

Operations - Changeover Staff

Job Title: Operations Staff

Reports To: Operations Manager

FLSA Status: PT Hourly, Non-Exempt

This position shall perform a multitude of physical tasks to maintain, changeover and clean the facility.  The work requires the ability to lift 50lbs. under a varied work schedule.  The position reports to the Operations Manager.

Major Responsibilities

  • Convert event related equipment such as tables, chairs, risers, staging and booths
  • Carry out maintenance related and general clean-up duties as required by move-in, decoration, rehearsal, event or move-out activity by all lessees of the Ralston Arena
  • Accept direction and other assigned duties for the Operations Manager
  • Perform custodial duties including dusting, sweeping, mopping, vacuuming and washing fixtures and equipment of the facility
  • Operate light equipment and machines such as forklifts, lifts, loaders and cleaning equipment
  • Continually seek improved methods for doing jobs more efficiently
  • Perform other duties as assigned by superiors

  • Ability to work nights, weekends, and holidays
  • Ability to work a varied and flexible work schedule
